1. What this policy covers

This policy describes how Agent Platform (“the Platform,” “we,” “us”) collects, uses, and protects personal information across the platform website, agent websites we host, the dashboard, and the AI assistant.

2. Information we collect

  • Account data: name, email, phone, brokerage, license details, and billing information you provide when you sign up
  • Client CRM data: contact details, notes, deals, and interaction history that agents enter about their own clients
  • Site-visitor leads: information visitors submit through forms on hosted agent sites (name, contact details, message)
  • Usage and analytics data: pages viewed, features used, device and log information, collected first-party on our own domains
  • AI assistant content: the messages you exchange with the assistant, processed to generate responses

For client CRM data and site-visitor leads, the agent is the primary custodian of the relationship; we process that data on the agent’s behalf to provide the service.

3. How we use information

  • Provide, secure, and improve the service
  • Route leads and communications to the right agent
  • Generate AI assistant responses from your own business data
  • Send service and billing communications
  • Comply with legal obligations and enforce our terms

4. Service providers

We use a small set of service providers (subprocessors) to run the platform, in generic terms: cloud hosting and content delivery, managed database and storage, email delivery, and AI model providers. Each processes data only as needed to provide its function to us. AI model providers process message content to provide the assistant feature and are contractually restricted from training their models on it under their API terms.

5. No sale of personal data

We do not sell personal data, and we do not share it with third parties for their own advertising. Information is disclosed only to the service providers above, at your direction, or where the law requires it.

6. Retention

We keep personal data for as long as the relevant account is active and as needed to provide the service, then delete or anonymize it within a reasonable period, except where a longer period is required for legal, billing, or security reasons. Agents can request export or deletion of their tenant data when they leave.

7. Security

We use reasonable technical and organizational safeguards, including encryption in transit, tenant-scoped access controls, role-based permissions, and logging. No system is perfectly secure; if a breach affecting your personal data occurs, we will notify affected parties as the law requires.

8. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal data, and to object to or restrict certain processing. To exercise these rights, or to ask any privacy question, contact us through the contact options on this site or from your dashboard. If your information was collected by an agent through their site, we may refer your request to that agent as the primary custodian.

9. Children

The service is for real-estate professionals and their adult clients and is not directed to children. We do not knowingly collect personal information from children under 13 (or under 16 where a higher age applies). If you believe a child has provided us personal information, contact us and we will delete it.

10. Changes to this policy

We may update this policy from time to time. Material changes will be announced by reasonable means, and the “Last updated” date above will change. Continued use of the service after changes take effect means the updated policy applies.
